2 Eagles Officials required to attend the AFL North Coast Planning Meeting

All clubs are expected to have at least one representative present at the meeting.
If you have any matters you would like to raise at the meeting can you please respond to this email by 9am on Monday 7 October so an agenda and any discussion papers can be sent out to clubs prior to the meeting.
There are already a few items that clubs have asked to be discussed during the Planning Meeting (there’s also some items marked in red that I would like to see the clubs discuss on the day):
SEASON START AND END DATES - By the time the planning meeting is being held the dates that the Stadium has been booked for the 2025 finals will be known. The season start date, particularly for juniors, will require discussion about the autumn school holidays dates which will be April 12 to April 27. Easter in 2025 is over the weekend of April 19 and 20.
YOUTH GIRLS SEASON START AND END DATES - Is it worthwhile starting and ending the Youth Girls season a few weeks later than the other the other age groups? There are pros and cons for the move (and a discussion paper with the reasons will be sent prior to the Planning Day). There is anecdotal evidence that clubs struggle with Youth Girls numbers early in the season due to rep netball and hockey and a thought is the Youth Girls competitions starting later might help with this.
MINIMUM NUMBERS IN GIRLS FOOTBALL - The minimum number of girls allowed for the three Youth Girls age groups is 8. Are the age groups at a sustainable enough point to raise that number to 10?
MAX ON FIELD NUMBERS IN UNDER 18s - The maximum number of players on the field is 18 in the Under 14s, Under 16s and Seniors. In the Under 18s the maximum number of players on the field is 16. Should this number be increased to 18 as well.
3-TEAM FINALS SERIES FOR ANY 4-TEAM COMPETITIONS - This year the Under-18s played a 3-team finals series with the team that finished on top of the ladder advancing straight to the Grand Final and teams who finished 2nd and 3rd playing in a Preliminary Final to see who meets them. To try and bring a greater interest in Home & Away games, should any age groups/grades that have four teams conduct a 3-team finals series?
PRESENTATION BY PARTICIPATION & PROGRAMS TEAM - A look at what School, Nines and Superkick programs have been delivered and also what’s planned for the upcoming months.
ORDER OF MATCHES ON A SATURDAY - Should the women be the first open age match of the day or should the women play later in the day with the Reserves playing before them? One club has also raised the idea of the Reserves being the last match of the day so on days when clubs have a group of players doubling up in both the Seniors and Reserves, the group will be freshest in the Senior match to provide that group a more competitive match.
INSURANCE COVER - Ways to increase the cover available to players above the current Silver Level from Marsh Insurance (75% reimbursement of Non-Medicare medicals up to $2,500, $75 excess per claim). Clubs can currently upgrade to Gold Level cover (90% reimbursement up to $3,500) for $262.19 per Senior Team and $70.19 per Junior Team.
FINALS QUALIFICATION - At the moment there are two levels of qualification - 50% of matches for Men & Women and 40% of matches for all other age groups and grades. If a club has both its Seniors and Reserves es playing on the same day it can cause some confusion as a player who has qualified for Reserves yet played less than the qualifying amount of games for Senior Men can only play Reserves (hasn’t met the 50% minimum qualification to play Seniors). Should the finals qualification be the same percentage for all age groups and grades (eg/ 45%) to provide consistency across the board? Also the rounding down is still causing confusion among some clubs leading into the finals. Should the rounding down be scrapped?
YELLOW FOOTBALLS IN JUNIOR MATCHES - While the rules state a yellow football should only be used in matches that start at 3pm or later, a local variation in the North Coast rules for the seniors allows yellow footballs to be used no matter what time a match starts. Doing so means that clubs don’t have to buy yellow balls separately to use for training under lights. A change for juniors could mean clubs can use a yellow ball during matches and when it’s no longer at a good enough standard for a match, it can be added to the club’s stock of training balls.
YELLOW CARD DURATION - The generic NSW/ACT rules are that a player given a yellow card is sent off for a quarter - this creates a consistency across all age groups/grades as it doesn’t matter what length of quarter is being played, it is easy to work out how long a player is required to be off the field. Currently an AFL North Coast local variation to the rules has 10 minutes off the ground across all competitions except for Men and Under 18s which sees a player spending 15 minutes off the field for a yellow card.
SPONSORSHIP TARGETS - The AFL North Coast budget, like all competitions in the state, is a money in/money out situation. The AFL doesn’t throw money at Community Football to fix issues. The expenditure that is allowed is equal to the amount of income that comes in from club affiliation fees and any additional income such as sponsorship. The umpires have asked for an increase in their match fees from 2025 and sponsorship is a way of reducing additional costs being passed on to clubs. Are there any businesses in the region who clubs think would be interested in becoming a naming rights sponsor ($10,000) or a ball sponsor with their logo on match balls ($2500). A rep program sponsorship option is also available if required. For $750 a business can have their company logo added to rep uniforms. Finding sponsors will help keep costs down for clubs.
RECRUITMENT - A brainstorming session with clubs sharing their successes and failures regarding the methods they’ve tried to recruit players - Juniors, Seniors, Girls and Women.
